Terms & Conditions

1. Introduction

By booking or hiring a horsebox from Heart Horsebox Hire, the client agrees to be bound by these Terms & Conditions. These terms govern the relationship between Heart Horsebox Hire and the Hirer. Please read these carefully before proceeding with your booking.
 

Please insure you have your horse’s passport, it is a legal requirement.

Vehicles left at the yard are left at their own risk.
 

The box is fitted with a GPS tracker.
 

Heart horsebox hire reserves the right the cancel your hire at any time and will not be liable for any costs.

You reserve the right to inspect the box before your hire, we encourage videos to be taken. 
 

Heart horseboxes accept no responsibility or liability for any injury sustained by or to horses or any person whilst in our box.

Smoking is not permitted in any area of the box at any time.
 

You must look after the horsebox and the accessories keys, phone holder, chargers, cameras, lock and wheel nut.

You must not do any work or alter anything on the box without my knowledge.
 

You must let me no straight away of any fault on the box.
 

Transporting generators are not permitted.

 

2. Rental Agreement

Booking: All bookings are subject to availability. Full payment is required at the time of booking to secure your requested dates.

Cancellations: A 14-day notice is required for a full refund. A 50% refund is issued for 7 to 14 days' notice, and cancellations within 7 days of the hire date are non-refundable. 

The box will have a full tank and should be returns with a full tank, fueled locally in the village. They're is a Tesco’s garage around the corner. Failure to fuel the box will result in £1 a mile charge.

Box must be cleaned before returning. Failure to do so will accrue a £30 cleaning charge.

Items in the hamper are free of charge gift from Heart Horsebox Hire. However please leave the hamper basket in the cab.

Please do not tie your horses to the external tie rings.

We offer free night before collection and late drop off subject to availability and confirmation through me. I will do my best to let you have the box when convenient, however it is a free optional extra, so it is subject to availability. This does not give you extra miles and is not to be used for any other service in this time.  You are only insured to use the horsebox to transport your horses on the day you hired.  If you wish to secure a night before collection, please hire a half day the day before.

3. Usage & Safety Guidelines

Driver Eligibility: Drivers must be aged between 23 and 70, holding a valid UK driving license for at least 2 years with no more than 6 penalty points.

Vehicle Care: The Hirer is responsible for returning the vehicle in a clean condition. A cleaning fee will apply if the horsebox is returned excessively soiled.

Loading Horses: Horses must be loaded and unloaded by competent persons. Heart Horsebox Hire accepts no responsibility for injury to animals during transit.

Insurance: Hire includes basic comprehensive insurance, subject to a standard excess for which the Hirer is liable.

The drivers must have had no insurance refused, declined or cancelled. Have not had any non-motoring convictions. No other person is allowed to drive the box that has not given me all relevent documetns.

We require DVLA one time access code with a photo of your driving license before your hire date.

We will need to see 2 utility bills (bank statement, bill, insurance or contractual agreement). They must show your address within the last 3 months.

Fulls day hires have 200 miles, there after 50p a mile charge

half day hires have 100 miles, there after 50p a mile charge 

Extra miles need to be paid at the end of hire. If this is delayed, charges will apply.

4. Liability & Indemnity

Limits of Liability: Heart Horsebox Hire's liability is limited to the cost of the hire. We are not liable for indirect losses, lost profits, or missed events due to mechanical failure.

Client Responsibility: The Hirer is responsible for all damage to the vehicle during the hire period, as well as any traffic fines, tolls, or third-party claims arising from their use of the horsebox. Hirers must indemnify Heart Horsebox Hire against all such costs and liabilities.

You will be liable for any damage caused to the horsebox by yourself or horses in your hired period. If damage occurs, the hirer is required to pay to have the damaged. Please ensure the funds are available as any delays may accrue further charges due to loss of business. You as the hirer are responsible for any damage coursed in your hire period. If sharing with a friend, please understand you are responsible.

If their damage is serious enough it has to be taken for repair straight away, you will be liable for any lost bookings. Please take great care in returning the box as received. We understand accidents happen and therefore we have full insurance for peace of mind. We are you take your time and take extra car not to scratch and damage the box. We will do an inspection before and after hire to mark down any existing damage.

The hirer will be required to pay and take responsibility for any speeding fine, parking charge, penalty charges or toll charges in their hire period.

Rental Agreement

Booking Process

Bookings can be made through our website or via telephone. A booking is only confirmed once full paymeny is received and booking form completed. By completing a booking, you enter into a binding agreement with Heart Horsebox Hire and agree to all terms stated herein.

Full Payment is required

A non-refundable deposit is required at the time of booking to secure your requested dates. 

Cancellations & Changes

Cancellations must be submitted in writing. Cancellations: A 14-day notice is required for a full refund. A 50% refund is issued for 7 to 14 days' notice, and cancellations within 7 days of the hire date are non-refundable. 

Changes to hire dates are subject to availability and may incur an administrative fee.

Liability & Indemnity

Heart Horsebox Hire acts in accordance with UK rental regulations. Please read these terms carefully, as hiring a vehicle constitutes full agreement to these terms.

Limitation of Liability

Heart Horsebox Hire shall not be held liable for any indirect, incidental, or consequential damages arising out of the use or inability to use the hired horsebox. This includes, but is not limited to, loss of profits, equine distress, or trip cancellations. Our total liability for any claim shall not exceed the total rental fee paid for the specific hire period.

Client Responsibility

The client is fully responsible for the vehicle during the hire period. This includes liability for any damage to the vehicle exterior, interior, or equipment provided. Horses are transported at the owner's risk; Heart Horsebox Hire accepts no responsibility for injury or illness to equines during loading, transit, or unloading.

Fines & Charges

The hirer is solely responsible for any parking fines, congestion charges, speeding tickets, or other statutory penalties incurred during the rental period. An administration fee may apply if Heart Horsebox Hire is required to process these on your behalf.

Indemnity

You agree to indemnify and hold Heart Horsebox Hire harmless from any third-party claims, costs, or legal fees resulting from your use of the vehicle or any breach of this agreement.
